Key Updates on Registration, Program, and Conference Logistics

Dear Participants,

Greetings from the IARS Seoul Conference 2025 Secretariat.

Please find below several important updates regarding conference-related matters.

1. Registration – Deadlines, Reminders, and Requirements

Early-bird registration ends on June 15, 2025 as scheduled.
Regular registration will now close earlier on June 27, 2025, which also serves as the final registration deadline for all presenters and program participants. On-site registration will be available only for general attendees.
Important Reminder for IARS Members: To complete your registration, you must pay both the membership fee and the conference registration fee.
General Reminder for Participants: If you selected the member rate but have not yet paid the membership fee, please do so immediately. Completing only one of the two steps does not constitute full registration.

For registration after June 27, please contact the Secretariat for case-by-case consideration.


2. Program and Participation Changes

The conference program was originally planned for biweekly updates. However, due to continued requests for scheduling adjustments, the Secretariat has decided to release only the final version of the program after registration closes on June 27, 2025.

If you intend to withdraw from the program, please inform the Secretariat by June 15, 2025 so that we may offer the slot to other accepted applicants.
If you are willing to serve as a panel chair, please contact the Secretariat by June 15, 2025 via email (iars.seoul.2025@gmail.com). We warmly welcome your participation.

We appreciate your patience and understanding.


3. Accommodation at Hoam Faculty House – Payment, Confirmation, and Room Sharing

For
those who have reserved a room at Hoam Faculty House, please proceed to the Optional Program / Accommodation menu on our website to complete your payment. Payment must be made by June 27, 2025 to keep your reservation active. If you experience any issues, contact the Secretariat to make prior arrangements. This arrangement is due to the accommodation venue’s cancellation policy.

Room Share Option: If you are open to sharing a room with another participant, please contact the Secretariat by June 15, 2025. We will help coordinate based on mutual interest.
Additional Reservation: A limited number of reservations are available on a first-come, first-served basis. Please contact the Secretariat by June 15, 2025.  


4. Official Documents – Receipts and Accommodation Confirmations

▶ Official Receipts Requested via Website:
 Documents will be issued at the end of June, once registration is finalized. In the meantime, participants can log in to the website, view their order history, and print the order confirmation as a temporary receipt.
▶ Accommodation Documents: Documents, including reservation confirmations for Hoam Faculty House, will be sent in mid-June.

All documents are manually prepared, which may take some time. We appreciate your patience and understanding.


5. Visa Documents

For those who require physical copies of visa documents, please contact the Secretariat no later than Wednesday, June 11, 2025. Requests received after this date cannot be accommodated, due to the limited time remaining before the conference.
For those who only need scanned copies, the Secretariat will continue to provide support beyond this deadline.
